SummaryAbout the position:This position will be assigned to the Gunter Youth Center.This position is an Intermittent/Flexible position, which means you may be scheduled from 0 to 40 hours per week based on mission need.Learn more about this agency ResponsibilitiesProvides technical administrative assistance for day-to-day planning, direction, and operation of the School Age Program. Performs office administrative duties. Receives, greets and answers questions from visitors and telephone calls courteously. Has knowledge of all programs within the Youth Center to answer requests for information on upcoming programs or refers customers to the appropriate staff. Uses varied functions of multiple office automation software to prepare and develop a wide range of documents in order to process forms, form letters, and to substantiate documentation. Transmits, receives, and acknowledges electronic mail and messages. Computes; collects, records, and deposits fees for the School Age and Youth Programs. Prepares paperwork in a timely manner. Enrolls children in all programs and ensures patrons have completed the required forms for all programs in the Youth Center. Assists in developing training aids for use by staff members and providing them with hands-on training. Supervises medication administration for children and maintains accurate documentation IAW AF instructions. Monitors duty schedules using SETS, prepares NAF payroll documentation. Requires all visitors in the building to sign in and out of the visitor's log and be escorted when children are in the building. Maintains file plan in accordance with regulations. Always maintains coverage at the front desk to monitor people coming in or leaving the program during operating hours. Designates someone else to monitor the front desk if not available. Provides oversight of the food program JAW Air Force, USDA, and local regulations. Ensures USDA paperwork is completed accurately to include updated enrollment of children, and correct daily attendance. Ensures paperwork is on file for each child and compiles the monthly USDA report for the School-age Program. In the absence of the School Age Coordinator, provides supervision to the program and staff. Ability to communicate effectively, orally and in writing, using tact and courtesy. Knowledge of funds handling techniques and procedures. Knowledge personal computers, and calendar, word processing, forms management, database management, and presentation software to support office operations and produce a variety of documents.
